WG-Planer — Your shared flat life. Simply organised.

What WG-Planer Is and Why You Need It

WG-Planer is a complete shared-living operating system for flat shares and rental apartments. Instead of using separate WhatsApp chats, spreadsheets, sticky notes, and bank reminders, you manage all daily coordination in one place with transparent rules and clear responsibilities.

Why this app matters

  • Financial fairness: every split, payment status, and balance is transparent so conflicts are reduced.
  • Operational clarity: chores, shopping, events, and notices are tracked with ownership and history.
  • Move-out confidence: final settlement and deposit handling are calculated with auditable data.
  • Owner workflow support: landlords can manage apartments, tenants, house rules, and contract signing end-to-end.
  • Role-based safety: each user only sees and edits what they are allowed to access.

How to use WG-Planer effectively

  1. 1. Complete your profile first (name, language, theme, payment methods).
  2. 2. Create or join your WG, then invite all active members so balances stay accurate.
  3. 3. Use Expenses daily (including receipts and split rules) as your source of financial truth.
  4. 4. Run chores, shopping, board, and calendar as your shared household control center.
  5. 5. If you are an owner, manage each apartment as a separate operational unit.
  6. 6. Use notifications as actionable tasks, then mark flows complete immediately after action.
  7. 7. For move-outs and contracts, follow the guided workflow exactly to avoid legal/financial gaps.

Important usage notes

  • Only participants of a payment-related expense receive payment notifications.
  • Data is separated per context (WG, apartment, friend group) and access is permission-based.
  • Language and theme are user-level preferences and apply across the whole app.
  • Archived content remains recoverable where the module supports recovery.
  • For legal pages and compliance references, use links in the footer.

Getting Started

WG-Planer helps flatmates (WG members) organise their shared life — from splitting bills to scheduling cleaning. To get started, register an account and either create a new flat (WG) or join an existing one using an invite link.

How to use:

  1. 1Register at /auth/register with your name, email, and password
  2. 2Create a new WG or accept an invite from your flatmate
  3. 3Set your preferred language (DE/EN) and theme (light/dark) in your profile
  4. 4Explore the dashboard to see a summary of your flat activities

Dashboard

The dashboard gives you a quick overview of your flat: recent expenses, upcoming chores, pending shopping items, and new board posts. The Current Balances widget is split into three sub-boxes — Apartment, Friends, and Total — each linking to its detail page.

How to use:

  1. 1Apartment box: open shared WG expenses you still owe
  2. 2Friends box: net balance across all friend groups (positive = owed to you)
  3. 3Total box: combined view across both — your real budget snapshot
  4. 4Click any box to jump to the related expenses page
  5. 5See upcoming tasks, shopping items, and board posts at a glance

Expenses

Track all shared costs fairly. Add expenses with flexible split options. Use the receipt scanner to automatically extract items from a photo of your grocery or restaurant receipt.

How to use:

  1. 1Click "Add Expense" and enter the description, amount, date, and who paid
  2. 2Choose a split: Equal (automatic), Custom amounts, or Percentage
  3. 3Optionally attach a photo of the receipt for proof
  4. 4Use the Receipt Scanner button to scan and auto-fill from a receipt photo
  5. 5View your balance and who owes whom in the balance overview
  6. 6Mark splits as paid once settled
  7. 7See full history including deleted expenses

Chores / Cleaning Schedule

Fairly distribute cleaning tasks across all flatmates. Add recurring chores, assign them, and track completion. The fairness score shows who has been pulling their weight.

How to use:

  1. 1Add a chore with a name, category, and frequency (weekly, monthly)
  2. 2Assign it to a specific person or leave it unassigned for rotation
  3. 3Mark chores complete — points are awarded automatically
  4. 4Check the Fairness Score chart to see who has done the most
  5. 5Admins can delete or reassign chores

Shopping Lists

Create shared shopping lists for your flat. Anyone can add items, tick things off while shopping, or delete completed lists. Multiple lists are supported — e.g. one per supermarket.

How to use:

  1. 1Click "+ New List" to create a list (e.g. "REWE" or "Weekly Shop")
  2. 2Add items using the input field and press Enter
  3. 3Tick items as you put them in your basket
  4. 4Delete the list once shopping is done

Bulletin Board

Post announcements, share news, or report maintenance issues. All flatmates can read and comment. Admins can pin important posts to keep them visible at the top. Authors and admins can archive posts to keep the board tidy — archived posts are recoverable.

How to use:

  1. 1Write a post with a title, category, and content
  2. 2Choose a category: General, Important, Event, Maintenance, Other
  3. 3Click "Post" to publish for all flatmates to see
  4. 4Comment on posts to discuss
  5. 5Admins can pin important posts so they appear at the top
  6. 6Archive a post using the Archive icon on any post card (author or admin only)
  7. 7Archived posts appear in the "Archived" section below active posts
  8. 8Recover an archived post with the Recover icon — it returns to the active list
  9. 9Permanently delete a post with the Trash icon (confirmation required)

Calendar

A shared flat calendar for meetings, grocery shopping trips, cleaning schedules, and any other events. Events can be assigned to specific members. Cleaning events support a completion photo.

How to use:

  1. 1Click on any day in the calendar grid to add an event
  2. 2Choose an event type: Meeting, Shopping Trip, Cleaning, or Other
  3. 3Optionally assign the event to specific flatmates
  4. 4For cleaning events, upload a completion photo as proof
  5. 5Events are colour-coded by type for easy scanning

Chat

Real-time messaging for every apartment you own or live in. Each apartment has its own group chat with all members listed at the top. Direct Messages let you have private 1-on-1 conversations.

How to use:

  1. 1Open the Chat page from the sidebar or top navigation
  2. 2Apartment Groups: one group per apartment — all members are shown at the top of the chat
  3. 3Tap the paperclip icon to send images or PDF files (up to 10 MB)
  4. 4Hover over your own message and click the pencil icon to edit it
  5. 5Messages cannot be deleted — only edited
  6. 6Unread messages in other conversations show a green dot in the sidebar
  7. 7Clicking a notification automatically navigates to the relevant page

Move-out Calculator

When a flatmate moves out, use this tool to calculate the final balance including any unpaid expense splits and deposit refund. Owners do not see the "Announce my move-out" button on apartments they own — only joined tenants can move out. Only available for Pro users.

How to use:

  1. 1Upgrade to Pro to access the Move-out Calculator
  2. 2Select the flatmate who is moving out
  3. 3Enter the move-out date and deposit amount
  4. 4Review the calculated balance: unpaid expenses vs. deposit refund
  5. 5Confirm and mark the move-out as complete
  6. 6As an owner: this option is hidden for your own apartments — you keep them; only tenants can announce a move-out

Owner / Landlord Panel

Landlords with an Owner account can manage multiple apartments, invite tenants, set house rules, and manage rental contracts end-to-end — all in one place. The contract workflow is fully structured: owner creates → fills contact details → sends to tenant → tenant fills details and signs → owner countersigns → both parties get a final read-only PDF.

How to use:

  1. 1Upgrade to an Owner account from your Profile settings
  2. 2Create an apartment in the Owner Panel
  3. 3Invite tenants by entering their registered WG-Planer email address
  4. 4Remove a tenant by clicking the × on their chip — they lose access
  5. 5Add rooms and assign them to specific tenants
  6. 6Edit a room (name, area, rent) using the pencil icon on the room card
  7. 7Delete a room using the trash icon — confirmation required
  8. 8Set house rules that tenants can read
  9. 9Edit or delete house rules at any time
  10. 10All changes reflect instantly without a page reload

Rental Contracts

The Rental Contracts page supports the full legal signing workflow. The owner creates a contract, fills in their contact details, then sends it to the tenant. The tenant fills in their own details and signs. The owner then countersigns to finalize. Only fully signed contracts are read-only. You can archive, recover, or permanently delete contracts. Each contract can be downloaded as a branded PDF at any stage.

How to use:

  2. 21. Go to Owner → Rental Contracts → "New Contract"
  3. 32. Fill in: Title, Apartment, Tenant email, Rent, Deposit, Dates, and the contract text
  4. 43. Fill in Owner Details (name, address, email, phone) — required before sending
  5. 54. Click "Create Contract" — saved as Draft
  6. 65. Expand the contract → check the amber "Owner Details" box is complete (green = ready)
  7. 76. Click "Send to Tenant" — the tenant gets a notification to review and sign
  8. 87. Wait for the tenant to sign — status changes to "Tenant Signed"
  9. 98. Expand the contract → click "Countersign" → enter your name and the city → "Countersign & Finalize"
  10. 109. Contract status becomes "Fully Signed" — both parties can download the final PDF

  12. 121. You receive a notification: open the Rental Contracts page
  13. 132. Expand the contract sent to you — read the full text
  14. 143. Click "Sign Contract" → fill in your Name, Address, Email, Phone, and Place (city)
  15. 154. Click "Confirm & Sign" — the owner is notified to countersign
  16. 165. Once the owner countersigns, status becomes "Fully Signed" — download the PDF
  17. 17--- GENERAL ---
  18. 18"Download PDF" works at any stage — shows real data for fields that are filled
  19. 19"Copy Text" copies the contract body to clipboard for pasting into a new contract
  20. 20"Archive" moves a contract out of the active list (owner only)
  21. 21"Recover" restores an archived contract to the active list
  22. 22"Delete" permanently removes Draft or Archived contracts (confirmation required)

Section 12

Friends & Group Expenses

Track shared costs with friends outside your flat — for trips, events, or any group spending. Create a group, add members, log expenses with flexible splits, and settle debts with one click directly from the Balances tab.

How to use:

  1. 1Go to Friends → "+ New Group" and give it a name and description
  2. 2Add friends to the group by their email address
  3. 3Click "+ Add" in the group to log an expense: title, amount, who paid, split method
  4. 4Split modes: Equal (automatic), Percentage (%), or Custom (€ amounts)
  5. 5In the Expenses tab: mark your own splits as "Mark settled" or "Mark received"
  6. 6In the Balances tab: see your overall group balance at the top
  7. 7"Group Balance" section shows every member's net balance in the group
  8. 8"Settle with a person" section shows pairwise debts — how much you owe or are owed by each person specifically
  9. 9Click the green "Settle" button next to a person to settle ALL outstanding splits between you in one tap
  10. 10After settling, the balance card updates instantly — no refresh needed
